Automatic import of reports created by the visualization portal

1. Introduction

In Power Embedded, it is possible to create and edit reports directly in the browser by accessing an existing report, delivering an excellent Self-service BI experience to users.

For the user to have access to the "Mode" menu and be able to Edit or Create new reports through the reports portal, the user or a group that the user belongs to and has access to that report must have the Create reports or Edit reports permissions.

For better governance over the editing and creation of reports, you can receive notifications, choose which users will be notified, and also enable the automatic import of reports with options to automate access.

2. How to configure the automatic import of reports

In Settings > Edit and Create Mode, you can view the fields, as shown in the image below.

Send notifications when a report is created or changed? If you enable this option, all reports that are created or modified will be notified by email.

Which events to notify? As mentioned above, you can select which actions you want to be notified about, choosing between creation, change only, or both.

Which user profiles should be notified? To better target the information, you can also choose which profiles will be notified, selecting all three if desired. This notification is sent both by email and in the administration portal itself.

3. Import reports automatically

With this option enabled, if a user creates or modifies a report and saves a copy, the copy will be automatically imported into the portal. By default, this copy is saved in the original report's Workspace and, without this permission enabled, it would be necessary to import it manually. In that case, a notification will be sent by email and in the portal informing about pending reports.

On this screen, you can have governance to analyze and review what the user created or edited, being able to import or reject those reports. In addition, within this same permission, there are other related features.

With this enabled, there are three possibilities:

  • Import the report only: The report will be imported without any permissions and it will be necessary to assign which users will be able to view it.

  • Copy permissions from the original report: This copy inherits the same permissions as the source report.

  • Import and grant permission to the creator: The report is automatically imported with access only for the person who created it.

Import report to the same folder as the original report? If this option is enabled, the report will be automatically imported to the same folder as the original report.

4. Report import notifications

When the portal administrator receives a notification by email, they will be redirected to a report import and review screen, as shown in the image below.

The administrator will also have access to these notifications directly on the home screen of the administration portal.
